Application Essentials

Prepare in advance by understanding the administrative requirements and key details for your visa application.

  • Visa Fee: Please refer to the Embassy website for the current fee.
  • Processing Time: Applications require a minimum of 7 days.
  • Booking an Appointment:
  • Identity Verification: Applicants are required to appear in person for identity verification and fingerprint collection.
  • Additional Documents: The list of required documents may change and is not exhaustive. Incomplete applications may require a new appointment, and applicants may be called for an interview.
  • Each visa application will be reviewed individually. Therefore the requested documents may vary. The Embassy reserves the right to ask for additional documents at all times.

Mandatory Document Checklist

  • Duly completed and signed Schengen visa application form (VIDEX)

    Important – VIDEX Accommodation / Reference Section:
    Applicants must complete the accommodation or reference section in the VIDEX form exactly as required. The information must match the purpose of travel. If this section is missing or incorrect, the application will appear incomplete in our system and cannot be processed. This will cause delays.

    For medical treatment, applicants must enter the hospital or medical facility in Germany where the treatment will be received.

  • 1 biometric passport-size photograph, not older than 6 months. Please follow these passport / ID photo guidelines
  • Valid passport (data page and signature page only; minimum 6 months remaining passport validity upon returning to Malaysia) (original + 1 copy)
  • Malaysian permit/ permanent residence (minimum 3 month validity upon returning to Malaysia) (original + 1 copy)
  • Previous Schengen Visas including entry and exit stamps (original + 1 copy)
  • Appointment letter from the German hospital/ doctor signed and stamped. The letter should state the nature of treatment, estimated time of recovery, the need for return visits and estimated cost of treatment (1 copy)
  • Recent medical report and referral letter from a Malaysian hospital/ specialist stating that treatment is not possible in Malaysia (1 copy)
  • Letter from the school/ college/ university/ institute in Malaysia stating your duration of holiday/ grant of study leave/ semester break (original)
  • Statement from employer stating the purpose and duration of your travel/ designation including your monthly income and the date of your commencement of employment (original)
  • Flight itinerary (1 copy)
  • Proof of accommodation (complete address of accommodation/ hotel reservation) (1 copy)
  • Travel insurance with minimum coverage of € 30.000,- (1 copy) - it is compulsory for spouses of German nationals to submit the insurance - spouses of citizens of other EU member states are exempted from providing this proof
  • Proof of sufficient funds

    · bank statements certified by the bank (original)

    · salary slips from the past 3 months (1 copy)

  • Valid rental agreement or proof of house ownership in Malaysia (original + 1 copy)

Important Notice for Applicants Under 18 Years of Age
Both parents must be present during the visa application submission. If one parent is unable to attend, a signed consent letter from the absent parent must be provided. The signature on this consent letter must be verified by a German authority or a German Embassy in the country where the parent is currently staying.
Signature verification issued by the authorities or embassies of the parent’s own country will not be accepted. No exceptions apply.
