Student Visa (University/Studienkolleg)
Online Application via the Foreign Office's Foreign Portal
You can easily apply for your visa online through the Foreign Office's Foreign Portal. We assist you in preparing the documents through pre-examination. You can check your application status online at any time.
Here is how the online application process works:
Step 1: Fill out your online application form and upload your documents.
Step 2: Submit your application. Your information and documents will be checked for completeness. You will receive feedback online. If your application is complete, you will receive a link to book an appointment.
Step 3: Attend your on-site appointment. During this appointment, your identity will be verified, and your biometric data (fingerprints and photo) will be captured. You can then pay the fee.
On-Site Application at Your Foreign Mission
Non- Malaysian nationals can also apply for the visa on-site at the Embassy. To do this, prepare the necessary documents and then schedule an appointment. The documents will be checked for completeness only during the appointment. If there are missing documents, an additional appointment at the embassy may be necessary.
Applicants are required to appear in person for identity verification and the provision of fingerprints, irrespective of whether the application is lodged at the Embassy or through VFS.
Malaysian nationals are requested to book an appointment with VFS while
Non-Malaysian nationals should book an appointment directly with the Embassy
Documents to be submitted
Please ensure that you bring all documents listed on the checklist in their original form along with one (1) set of copies.
Additionally, kindly ensure that there are no staples attached to any of the documents.
⬜ duly completed and signed national visa application form (VIDEX)
⬜ biometric passport picture not older than 6 months (1 pieces, white/grey background- teeth cannot be visible)
⬜ valid passport (data page and signature page only)
⬜ valid Malaysian permit (applicable to non-Malaysians only)
⬜ admission letter or invitation letter from an university in Germany (Zulassungsbescheid)
(If received electronically please submit a print-out with the attached email)
⬜ admission or invitation to an admission test at a Studienkolleg
⬜ motivation letter (with signature) containing:
- comprehensive intention of intended stay
- future plans
⬜ proof of language proficiency
- German: If the course is conducted in German, proficiency in the language is mandatory. Applicants must provide proof of proficiency through certificates such as Goethe, Telc or ÖSD incl. from Institutions recognized by ALTE
- English: If the course is conducted in English, proof of English language proficiency is required. Applicants can submit valid IELTS/ TOEFL scores unless their previous degree or course of study was conducted in English
⬜ proof of your past qualifications/ educations (certificates) in English or with a German translation
- SPM/ O’Levels
- STPM
- Cambridge A- Levels (complete)
- Bachelors etc.
In addition to your academic degree, please provide proof of the academic achievements obtained during your studies (Transcript of Records). This document must include:
- A list of the courses, seminars, and lectures you attended in your degree program
- The grades achieved and the credit points awarded
- The number of semesters completed

- Proof of scholarship
⬜ Consent letter (Einverständniserklärung) if applicant is below 18 years of age
Both parents must be present during submission. If one parent is absent, a consent letter with the absent parent’s signature verified by a German authority or German Embassy in the country where the parent is currently located must be provided.
Verification by the parent’s own national authority or embassy will not be accepted. No exceptions.
⬜ Travel, Health and Accident Insurance with a validity of 6 months starting from your intended travel date
General Information
The Embassy generally issues visas with a minimum validity of 90 days, allowing multiple entries. Shortly after entering Germany, the visa holder must contact the responsible Immigration Office (Ausländerbehörde) in Germany, which then issues the final residence permit.

Please note that visas will not be issued earlier than three months before your intended travel date to Germany!
The above list is not comprehensive and is updated frequently. Additional documents may be required in individual cases. Incomplete applications cannot be processed and you may be asked to book another appointment. Applicants may be called in for an Interview.
