Documents to be submitted

You have to be present at the Embassy for verification of your identity and to provide your fingerprints.
Please submit the following documents and make sure to divide the documents into sets of originals, 1st set of copies & 2nd set of copies.

⬜ duly completed and signed National visa application forms (VIDEX) (2 originals)

⬜ biometric passport pictures not older than 6 months (2 pieces, white/grey background- teeth cannot be visible) Photo requirements

⬜ valid passport (data page and signature page only) (original + 2 copies)

⬜ valid Malaysian permit (applicable to non-Malaysians only) (original + 2 copies)

⬜ Hosting agreement (Aufnahmevereinbarung- Contract for issuance of a residence permit according to Section 18d of the German Residence Act) (2 copies)

⬜ research funded through employment: Contract and declaration of employment (Erklärung zum Beschäftigungsverhältnis – filled out by your employer in Germany) (2 copies)

OR

research funded through scholarship: Confirmation of scholarship (2 copies)

OR

self-funded research: Proof of financial means (€947/ month without an employment contract) (2 copies)

  • German or Malaysian bank statements for an account in your name for a minimum of three months, showing that you hold a continuous and sustainable balance, OR
  • blocked account, OR
  • formal commitment (“Verpflichtungserklärung”) by sponsor resident in Germany

⬜ proof of your past qualifications/ educations (certificates) in English or with a German translation (2 copies)

Travel, Health and Accident Insurance with a validity of 6 months starting from your intended travel date (2 copies)

Reference

The Embassy issues visas with a minimum validity of 90 days, allowing multiple entries. Shortly after entering Germany, the visa holder must contact the responsible Immigration Office (Ausländerbehörde) in Germany, which then issues the final residence permit.

The above list is not comprehensive and is updated frequently. Additional documents may be required in individual cases. Incomplete applications cannot be processed and you may be asked to book another appointment. Applicants may be called in for an interview.
